How to plan maintenance for a car rental fleet

To manage rental fleet maintenance, track each vehicle’s due dates, reserve its workshop slot in the calendar, and confirm it is ready before making it available again. Scheduling must cover workshop time plus inspection and preparation before the next rental.

Create a useful maintenance record

Keep the registration, odometer reading and its date, last service, next due date, provider, and receipt together. Service intervals depend on the manufacturer, vehicle, and usage. Follow the maintenance schedule and the professional responsible for the vehicle.

  • Assign someone to update mileage after each return.
  • Record the reason for downtime and expected release date.
  • Keep the service cost and invoice with the vehicle record.

Block availability when the appointment is confirmed

A note in a folder does not prevent a booking. Put downtime in the same schedule as rentals. Fleety can display maintenance blocks alongside reservations to exclude unavailable vehicles.

Check committed bookings before confirming the workshop appointment. If service becomes necessary earlier, contact affected customers and arrange alternatives without promising the same replacement to two renters.

Example: maintenance before an airport departure

Illustrative scenario: a car is at the workshop on Tuesday from 9 am to 3 pm, with a departure booked at 4 pm. If travel, inspection, and cleaning need two hours, that booking does not fit, even with a 3 pm release. Prepare another car or agree a different time with the customer.

If the workshop extends the job, update the block and inform the person handling the departure. Do not release the car simply because its estimated finish time has passed.

Confirm the vehicle is ready

Assign someone to check completion, paperwork, and preparation before marking the vehicle available. This connects workshop information with desk operations. A qualified professional should resolve any concern about the vehicle’s condition before handover.

Measure the effect of downtime

Track service costs separately from unavailable days. Illustrative example: over 30 days a car is rented for 18 days and under maintenance for 3. Calendar utilization is 18 / 30 = 60%. Available-day utilization is 18 / 27 ≈ 66.7%. Always show the denominator so removing difficult days does not artificially improve the metric.
